    The Office/Customer Service Administrator works under general direction of the Director, Business Development, M&M Systems. This person will be responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency while providing dedicated assistance to the Business Development Department.

    Essential Duties and Responsibilities

    • Answer and screen telephone calls expediently and appropriately using discretion to handle calls independently; take and relay messages.
    • Coordinate and assist in preparing shipments and receiving deliveries. Sort, route and track incoming and outgoing mail.
    • Maintain office calendar, schedule meetings and the use of office conference rooms.
    • Order and maintain office supplies. Make necessary arrangements for repair of office equipment as needed.
    • Coordinate ad prepare customer visits and internal staff meetings as required. Plan company events and activities such as; management visits, company parties, training etc. Welcome visitors and ensure their positive experience. Order meals or supplies for meetings as needed.
    • Support candidate interview process and new employee on-boarding process. Provide support to Human Resources and Accounting and office staff, as needed.
    • Make travel arrangements and completion of managerial expense reports/credit card coding, as required.
    • Coordinate with Corporate Help Desk team to resolve office and employee IT issues.
    • Act as main contact for facilities and coordinate with building maintenance/management.
    • Responsible for reviewing contractual documents for acceptability, purchase order acknowledgements, timely sales order entry, sales order acknowledgements, coordination of delivery schedule and quotations of standard catalog pricing and repeat orders.
    • Prepare any requested correspondence including but not limited to emailing customer pack slips.
    • Support of Accounts Receivable including monthly reports and collection activities.
    • Ensure clear and concise communications with customers on the status of their orders. Responsible for inside-sales activities such as promoting Kaman to existing customers for the purpose of securing additional or follow-on orders.  Act as the focal point for ensuring customer satisfaction whenever possible in dealing with customers.
    • Follow up delinquencies/shipments with appropriate internal support groups and advises customers of outcomes. Respond to telephone/email request/inquiries from both customers and Kaman personnel.


    Education: Strong working knowledge of word processing, spreadsheet and presentation application software. Requires good organizational skills and the ability to work independently to prioritize workload and handle large volume of diverse tasks.  High school diploma or equivalent required.


    Experience:  3-5 years of administrative support experience
